Planning Fees
Planning and concierge fees are professional service fees and are non‑refundable. They compensate for research, supplier communication, and itinerary design and are separate from travel supplier payments.

Group Travel Retainer
The $250 group retainer secures research and coordination. If the group reaches 8 traveled cabins, the retainer may be credited toward the organizer’s booking. If not met, it remains payment for services rendered.

Custom Itineraries
Planning fees cover itinerary design only. Booking implementation must be completed through Properly Seated for support and management.

Client Responsibility
Clients must provide accurate legal names, dates of birth, travel documents, and loyalty information. The agency is not responsible for penalties due to incorrect information.

Supplier Control
All travel services are provided by third‑party suppliers. Properly Seated acts as an intermediary and is not liable for supplier schedule changes, cancellations, mechanical issues, weather events, or service interruptions.

Chargebacks
By submitting payment, the client agrees not to dispute planning service fees with their financial institution.

Travel Insurance
Travel insurance is strongly recommended. Declining insurance releases the agency from responsibility for supplier penalties or unforeseen disruptions
